Who this is from

The Topcliffe and Asenby Sunday Email is a free weekly community email, edited by Doug Allan of Topcliffe. Doug is the person responsible for the personal information described on this page. You can contact him at doug@dougallan.co.uk or on 07785 223707.

What we keep and why

When you sign up we ask for your name, your email address and which village you live in (Topcliffe, Asenby or Other). You can also give a mobile number and a landline number, but you don’t have to. We use this to send you the Sunday Email and for the reason explained under “Putting neighbours in touch” below. Giving a phone number is entirely optional.

When you receive the email, the service we use to send it records whether the email was opened and which links in it were clicked. This is how the links in the email work and it helps Doug see whether the newsletter is being read.

When you visit this website, the site sees ordinary technical information such as your internet address and the pages you look at. We use the free statistics service from WordPress.com (Jetpack) to count visits and WordPress.com’s network to deliver the photos and some of the website’s files. The website also loads its text styles from Google Fonts. This means those companies can see your internet address when a page loads. This website does not set any cookies on your device and it has no advertising.

Putting neighbours in touch

The Sunday Email works a little like a village directory. Because we are a close community, people sometimes ask Doug to put them in touch with a neighbour, for example about something they read in a recent issue.

If someone asks to reach you, Doug will not give them your name, your email address, your phone number or anything else about you. He will use the details you gave to contact you himself, pass on the request and ask you to get in touch with them if you would like to. It is always your choice whether you do.

Giving a phone number is entirely optional. Doug does not use any of your details for anything else and you can ask him to remove any of them at any time.

Why we are allowed to use it

You gave your consent when you signed up. You can take that consent back at any time and doing so does not affect anything that happened before.

Who else sees it

Your sign-up details go straight from the form on this website to Mailchimp, which sends the Sunday Email. This website does not keep a copy of them. Mailchimp is run by Intuit and may handle information in the United States, using the safeguards the law requires. Doug does not sell or share your details with anyone else.

This website is hosted on a server in the European Union.

How long we keep it

We keep your details for as long as you receive the Sunday Email. If you unsubscribe, the emails stop. Mailchimp keeps a small record that you opted out so that you are not added again by mistake. If you would like your details deleted completely, ask Doug and he will do it.

Your rights

You can ask Doug to show you what he holds about you, to correct it, to delete it or to stop using it. You can unsubscribe at any time using the link at the bottom of any Sunday Email. If you are unhappy about how your information is handled, you can complain to the Information Commissioner’s Office at ico.org.uk (opens in a new tab) or on 0303 123 1113.

Past issues on this website

Past issues of the Sunday Email are kept on this website as an archive. They contain village news, events, notices and sometimes photographs. If you are named in an issue or appear in a photograph and would like it changed or removed, please contact Doug.

Changes to this page

If we change how we use your information, we will update this page and the date at the top.
